We value your willingness and ability to volunteer your time at the Hudson Area Public Library and appreciate your commitment to our community.
As a volunteer, it is important that you understand that you do not have any regular employee status. Your role as a volunteer is purely by your choice. As a volunteer, you determine your schedule. If requested, HAPL can make a schedule recommendation based on need.
Volunteer assignments are determined by the needs of the library and the needs of the volunteer.

Volunteer Work Guidelines
- All volunteers must complete a Volunteer Application before their first volunteer assignment.
- All volunteers must be at least 12 years of age.
- The first day that you volunteer in any month, please sign the volunteer time sheet.
- Before you leave each day, record on the volunteer time sheet the amount of time you worked.
- Please provide advanced notice of absences whenever possible. If you will be late or unable to report to work on a scheduled day, please call the library and let us know.
- You may, as a result of your volunteer assignment, be placed in a public area of the library. If you are asked for information, please refer library users to the library staff person on duty in the appropriate area.
- Personal conversations in open work areas with other volunteers, staff or customers should be kept to a minimum and work-related conversations should be conducted with courtesy so as not to interfere with others working nearby.
- As a volunteer, you will receive appropriate training. As in any job, you will probably receive feedback in order to help you improve your performance. Please accept feedback in the spirit given.
- Do not deviate from library procedures without prior approval. If you have ideas for improving the efficiency of your task or a library procedure, please discuss it with a library employee.
- Smoking is prohibited in all areas of the library.
- Visits from friends and/or children are discouraged.
- If you should be injured at the library in your capacity as a library volunteer, report it as soon as possible.
- The Library may end the work relationship between the library and the volunteer at any time without notice. Whenever possible, a two-week notice and/or an alternative volunteer position within the library will be provided.
- A two-week notice from the volunteer of intent to end the work relationship is requested.
Your volunteer contributions help to make HAPL a great community organization.
Volunteers at HAPL assist paid employees who ensure that the library meets the needs of the public. In the eyes of library users, volunteers may be indistinguishable from employees. Therefore, although volunteers are not obliged to meet all of the same requirements as employees, they are expected to contribute to the general effort of providing courteous, helpful service. In general, volunteers are asked to take the same attitude toward their volunteer assignment at the library as they would if they were employees.
As a volunteer of HAPL, you agree
- To accept the guidance and decisions of the staff.
- To recognize the function of the paid staff, maintain smooth working relationships with them, and stay within the bounds of volunteer responsibilities.
- To always wear a volunteer badge.
- To report on time, as scheduled, and check in with the staff upon arrival to work. To record volunteer hours on the volunteer time sheet. To inform my supervisor as soon as possible if I am unable to keep my schedule. To notify my supervisor if I need to take an extended leave, or if I decide to resign.
- To dress appropriately and act courteously to patrons and employees, because the library is a public place where attitude and appearance are important.
- To maintain the dignity and integrity of the library with the public and patron confidentiality that is guaranteed under Wisconsin law, I will not discuss, outside the library, any patrons by name or their reading selections.
The library itself has responsibilities to the volunteer. The volunteer is entitled to the same protection as an employee from undue exposure to chemicals, strenuous or repetitive activity that could result in injury, and other potential workplace hazards. If an individual is injured while volunteering at HAPL, it is important that the volunteer supervisor is notified immediately.
Volunteers are not covered under HAPL insurance. All volunteers are required to complete an application which includes a release of liability for any injuries, damages, and losses of any type which may occur.
Computer and Electronic Mail Security
The electronic mail system of the library and library computers belong to the library and should not be used to store, transmit or execute files concerning personal matters. Use of the electronic mail network and Internet should be related to the business of the library.
Each library within the system has its own emergency procedures governing what to do in case of fire, tornado, or other emergencies. Please ask your LSC or supervisor to review these procedures with you.
Harassment and Offensive Behavior
All employees and volunteers of HAPL should enjoy a work environment free from harassment and offensive behavior, including sexual harassment.
Sexual harassment is a form of misconduct which undermines the integrity of the employment or volunteer relationship. No employee or volunteer, either male or female, should be subjected to unsolicited and unwelcome sexual overtures or conduct, either verbal or physical, or harassment based on race, religion, color, disability, marital status, age, creed, sexual orientation, status with regard to public assistance, national origin, or membership or activity in a local commission.
Harassment does not refer to occasional compliments of a socially acceptable nature. It refers to behavior that is not welcome, which is personally offensive, which weakens morale, and which therefore interferes with the individual’s effectiveness and work environment. Such conduct, whether committed by supervisors, non-supervisory personnel, the public or trustees is specifically prohibited and disciplinary action will be taken if reports of such conduct are found to be valid. Such behavior includes repeated offensive sexual flirtations, advances or propositions, continued or repeated verbal abuse of a sexual nature, graphic or degrading verbal comments about an individual or his or her appearance, the purposeful and/or intentional display of sexually suggestive objects or pictures, or any other offensive or abusive contact.
All incidents of harassment or offensive behavior should be reported immediately to the Associate Librarian or the Library Director.
